Search Works
Works can be accessed by one of two ways. From the main item panel, the Account menu in the top right corner offers a Search Works option that will open a new tab of your browser. You may also search for a work for direct linking to an item record from the edit tab.
To search for a work:
- From the item panel, navigate to the Account menu at the top right corner of your screen (you will see your username).
- In the Tools section, select Search Works.
- A new tab of your browser will open to the Search Works page.
- Enter your search term(s) in the search field, or filter for your works using the faceting structure in the left panel.
Or to search a work for linking to one or more open items:
- When editing an item or items, select Add Work Record. This will open a new browser tab.
- Enter your search term(s) in the search field. Filtered results and facets will begin to appear below as you enter your search term(s). You can use the facets located in the left panel to filter your results.
- To perform an Advanced Search, select Add Advanced Search Query then select the Work field(s) to search within. You can then link one of the Works below to Item(s) or view the Work.
- To clear your search term(s) select the X icon in the search field.
View Works
From your work search results, click on the work record you want to view in a new tab. Select Record, Local Info, Related Items, and Related Works to view the different fields. You can then link the work to item(s). To close a work record, hover over the tab and click on the X icon.
If a work has been linked to items, the work’s title and ID number will be visible in the item. Select View/Edit Work Record to open the work record in a new browser tab.
Create Works
- When editing items, select Add Work Record. This will open a new browser tab.
- Select New Work located on the right. Alternatively, select Create Work from the Options menu in the item panel. The work form will open in a new tab.
- Enter the work’s information in the form and then select Save or Save & Close.
To batch create work records with the same information:
- Select Save as Multiple Works from the drop down menu left of the Save button.
- Enter the number of works to be created in the batch. Please note that title information is required before the system will allow you to save the work record(s).
- Edits can be made to the additional work records created in the batch.
Relate a Work to Another Work
You can establish relationships between work records, creating a rich data relationship for any linked items. Relationship qualifiers such as “component of” or “exhibited at” and other relationship types are available to establish meaningful links between works. The relationship is reciprocal for each work; establishing a relationship in one work will appear in the related work as the counterpart in the relationship.
To relate one work to another:
- Open at least one item linked to a work.
- Select View/Edit Work Record, and the work will open in a new tab.
- Select Related Works.
- Select the Edit button.
- In the Add Related Work section, select a Relation Type and another work record to relate.
- Save or Save & Close. You will be asked to propagate these changes to all linked items. Select Yes.
- Republish the linked items so the end user sees these changes.
Unlink a Work from Another Work
- Open at least one item linked to a work.
- Select View/Edit Work Record. The work will open in a new tab.
- Select Related Works.
- Select the Edit button.
- Select on the X located to the right of the related work.
- Save or Save & Close. You will be asked to propagate these changes to all linked Items. Select Yes.
- Republish the linked items so the end user sees these changes.
