Uploading media files
- In your project, open the Add drop-down menu and select Upload Media.
- Drag and drop media files or browse to select files or folders from your computer.
- If an unsupported file was added to the upload, you will receive a notice indicating that unsupported files were detected and will not be included in the batch. See Supported file types and sizes.
- Optionally, select Group by Filename to automatically create compound objects based on your media filenames. See Compound objects.
- Select Upload. When the upload is finished, a message will be displayed with details about the batch.
- Select Close. Your media will now appear in your project view.
Note: Filenames for media files must be unique and can only be associated with a single record per project. If you need to upload duplicate media files to one or more projects, create a copy and give your media files unique filenames.
Adding media files to an existing record
- In your project, double-click an item to edit it or select an item and select Edit.
- Select Add Media above the media viewer.
- Drag and drop media files or browse to select files or folders from your computer.
- If an unsupported file was added to the upload, you will receive a notice indicating that unsupported files were detected. See Supported file types and sizes.
- Upload multiple image files to associate them with the selected metadata record. See Compound objects.
- Select Upload. When the upload is finished, a message will be displayed with details.
- Select Close. The uploaded media will now display in the media viewer of the edit tab.
- Select Save or Save & Close to save changes to the item.
Clearing a single media file
- In your project, double-click an item to edit it or select an item and select Edit.
- Open the Media drop-down menu above the media viewer and select Clear Media.
- Click Clear again to confirm this action. The media will be removed.
- Select Save or Save & Close to save changes to the item.
Replacing a single media file
- In your project, double-click an item to edit it or select an item and select Edit.
- Open the Edit Media drop-down menu above the media viewer and select Replace Media.
- Drag and drop a media file or browse to select a file from your computer directory.
- If an unsupported file was added to the upload, you will receive a notice indicating that unsupported files were detected. See Supported file types and sizes.
- Select Upload. When the upload is finished, a message will be displayed with details.
- Select Close. The uploaded media will now display in the media viewer of the edit tab.
- Select Save or Save & Close to save changes to the item.

Batch replacing media files
Batch replace allows you to replace media files in batch, without modifying your data records. Along with this process, you will use an Excel spreadsheet to replace the existing media filenames with the new filenames. This allows the system to match the new media files with their existing data records.
Note: Filenames for media files must be unique and can only be associated with a single record per project. If you need to upload duplicate media files to one or more projects, create a copy and give your media files unique filenames.
To batch replace media files:
- In your project, select one or more items that you want to replace, open the three-dot overflow menu, and select Download metadata.
- In the Excel spreadsheet, enter CLEAR (case-sensitive) in the Filename column for each record to be replaced with a new media file. Leave all other cell data as is.
- Use the “Save as” option in Excel to save the edited spreadsheet with a new name so your original exported spreadsheet is not overwritten. This maintains a copy of the original Excel spreadsheet so you have a record of the filenames and matching SSIDs for safekeeping.
- In your project, open the Add drop-down menu and select Import Metadata, then locate the edited Excel spreadsheet. Uploading this will clear the existing filename from the data record and remove the media file, but the rest of the data will remain the same.
- To batch upload replacement media files, you’ll need to import another new spreadsheet with the replacement filenames. If you plan to use the same filenames for your new media files you can use the original spreadsheet that you initially saved. Otherwise, edit the Excel spreadsheet by entering a new filename for each matching SSID. Again, use the “Save as” option if you want to preserve a list of the original media files you are replacing.
- Return to your project, open the Add drop-down menu and select Import Metadata to import the Excel spreadsheet with the new/replacement filenames.
- Lastly, upload the replacement media files by opening the Add drop-down menu and selecting Upload Media. The media files will automatically match to their data record as long as the filename in the uploaded spreadsheet matches to the media filename.
