When searching on JSTOR, searches for variants of terms from Getty's vocabularies will return relevant results that have been cataloged with the preferred term and vice versa. This includes keyword searches, searches using fields, and when performing an advanced search.
About the Getty vocabularies [Tiers 2-3] includes more information about the vocabularies and their integration with JSTOR Digital Stewardship Services. This article details how to search, view, create, and catalog with these terms.
Searching Getty terms
To search for a Getty term:
- When viewing an item, select the Add Link(s) button for the Linked Authority field.
- To catalog with Getty terms, a field must be a Linked Authority field type with one or more of the integrated Getty vocabularies selected as its source. See Managing project fields [Tiers 2-3] for more information.
- Select a linked authority from the list and select Next.
- In the search box, enter a name, word, phrase, or unique identification number.
- First and/or last names can be entered in any order, with or without capitalization and diacritics.
- Boolean operators, wildcards, and quotation marks for exact match searches can be used. (See below.)
Boolean operators
- You can use AND or OR when searching. These Boolean operators must be typed in all capital letters. For example: Gordon AND Matta; Philips OR Phillips
- Both operators AND and OR can be used in the same query. When doing so, parentheses should be used for the best results. For example: (Giovanni OR Gentile) AND Bellini
Wildcards
- An asterisk (*) can be used as a wildcard for right-hand truncation or within a term. For example: Kaufman*; Pollai*lo
- Boolean operators AND or OR can be combined with wildcards. For example: Pieter AND (Bre* OR Brue*)
Exact match
- Quotation marks can be used to find an exact match. For example: A search for "Christo" will retrieve the artist known simply by this name and not artists such as Christo Coetzee whose names contain Christo along with other keywords.
- Quoted phrases can be combined with OR. For example: “Christo” OR “Giotto”; Taddeo Gaddi OR “Giotto”
Linking Getty terms to items
When a term is linked to an item, the display value will populate the display text for the field and the linked data will appear below the field. Any actions on the linked data or display text will not affect the term itself. Deleting or editing the display text only alters what appears for this item.
To link terms to an item:
- When viewing an item, select the Add Link(s) button for the Linked Authority field.
- To catalog with Getty terms, a field must be a Linked Authority field type with one or more of the integrated Getty vocabularies selected as its source. See Managing project fields [Tiers 2-3] for more information.
- Follow the steps in Searching Getty terms to search for a term.
- Select one of the following options for each term you want to link:
- Link - The term will be linked to the field, but no display text will be added.
- Link and append - The term will be linked to the field and the term will be added or appended to the display text for the field. This option won't overwrite existing data in the field.
- Link and overwrite - The term will be linked to the field and any existing values in the display text for the field will be overwritten with the term.
- Once you've finished linking the desired term(s), select Add to save your changes to the field and close the search window.
- Select Save to save your changes to the item.
Unlinking Getty terms from items
If one or more terms are linked to a field, you can unlink them by selecting the X beside the term label(s). Display text will remain in the field until deleted manually.
Creating ULAN+ names
ULAN+ (or Shared Shelf Names, as it appears in JSTOR Digital Stewardship Services) is an expanded selection of names, and it includes name records from the Getty ULAN®, name records created by your institution, and promoted name records from other institutions.
To add your own name records to ULAN+:
- First, follow the steps in Searching Getty terms to search for the name.
- If the name is not found, open the Cataloging Tools drop-down menu in the sidebar, then select Create Name.
- A blank name record form will open in a new browser tab or window. See Name record field descriptions [Tiers 2-3] for more information.
- To save a new record, the Preferred Name and Source fields must be completed.
- For a record to be considered complete, the following fields must also be filled in:
- Gender
- Birth/Start
- Death/End
- Nationalities/Cultures
- Roles
- Bibliography
- After you've completed all required fields for the new name record, select Save or Save & Close.
- If the record is missing a required field, the dialog next to these options will indicate which field(s) still require data.
- If any of the required fields for the name record are left blank, it will be marked as Provisional.
- If all required fields in the name record are complete, it will be marked as Complete.
Editing names
To edit a name:
- Follow the steps in Searching Getty terms to search for the name.
- Alternatively, if the name is already linked to an item, select the term link below the relevant field.
- The selected name record will open in a new browser tab or window. Select Edit to make changes to the record.
- You can only edit name records your institution has created.
- After you've completed your changes, select Save or Save & Close.
Promoting names
You can promote name records created by your institution to make them available to all JSTOR Digital Stewardship institutions to use; however, only the submitting institution can edit their original name record.
To promote a name while editing the name record, select Promote and confirm you want to promote this name to other institutions in the JSTOR Digital Stewardship Services community.
