Ongoing maintenance of projects may lead to shifting content between projects to fulfill a specific need. The following steps can be used to move content between projects.
The first step of this process is to build your new project. After the new project is created, generate an Excel template of those fields.
Exporting records from a project
- Select a project, then select one or more items you wish to export.
- Please note Excel has a limit of 1,048,576 rows.
- At this time, exporting project records is limited to the rows visible in the project table with a maximum of 250 items per page. If your project contains more than 250 records, please export records one page at a time.
- Open the three-dot overflow menu and select Download Metadata.
- Open the downloaded spreadsheet in and clear the top row of the column headers.
- Open the template you created for your new project and copy and paste the column headers from the new project template into the corresponding columns in the exported data sheet.
- In the SSID column, replace all existing SSID numbers to NEW (case-sensitive) and save the Excel sheet.
Importing records into a project
- In your new project, open the Add drop-down menu and select Import Metadata.
- Browse to and select your spreadsheet and select Import.
- The system will auto-generate and assign unique SSIDs for any records marked with NEW in the spreadsheet. New records will be initially marked with a placeholder thumbnail image.
You'll receive a confirmation window notifying you of the number of new records created.
Downloading and re-importing media files (optional)
Once records have been created in your new project, you can choose to upload the associated media files from your local storage directly, or you can download the images from the previous project to re-import.
- Select a project, then select one or more items you wish to export media files for.
- At this time, exporting media files is limited to the rows visible in the project table with a maximum of 250 items per page. If your project contains more than 250 records, please export media files one page at a time.
- Open the three-dot overflow menu and select Download Media Files.
- A link to download a ZIP file containing the selected media files will be emailed to the address associated with your user account.
- Un-zip the ZIP file and remove the original SSID prepended to the filename of each media file.
- Filenames are case-sensitive, and the spelling and file extension must match values in the Filename column of the new project exactly.
- Filenames must be unique and can only be associated with a single record per project.
- In your new project, open the Add drop-down menu and select Upload Media.
- Browse to and select the corresponding media files.

- The system will match the uploaded media files to their corresponding records by the filename in the metadata and the initial placeholder thumbnail will be replaced by the media file thumbnail image.
Note: When migrating a project within the same JSTOR Digital Stewardship Services environment, suppressing and deleting the original items is recommended. Suppressing items will remove the items from published environments. Deleting will remove the items from the original project or you can delete the project altogether.
