Creating blank records
To add one or more metadata records to your project:
- In your project, open the Add drop-down menu and select Create Blank Record.
- Enter the number of blank records you'd like to create, then select Create Record(s).
- You'll receive a confirmation message and new blank records, with unique SSIDs, will appear in your project.
Cataloging a single item
To catalog a single item in your project:
- In your project, double-click on an item to open the individual item record.
- You can also select the item by checking the box beside the item thumbnail and choosing Edit from the actions bar.
- When you're finished, select Save to save your changes.
- Optionally, if the item is ready for publishing, select Publish.
- If you don't intend to publish the item, you can save your changes and return to your project records by selecting Save & Close.
Tip: To continue editing the next record in your project, use the Previous and Next navigation arrows above the current item record.
Cataloging multiple items
To catalog multiple items in bulk:
- In your project, select multiple items by checking the boxes beside the item thumbnails and select Edit from the actions bar.
- In the Bulk Edit panel, open the Select Fields drop-down menu and select the fields you wish to modify in bulk. These fields will now appear in the Bulk Edit panel.
- Important: If one or more items already contains data for the selected fields, these values will NOT be displayed in the Bulk Edit panel. Values entered here will overwrite any existing data in the selected fields for all selected items.
- Enter new values to populate and/or overwrite existing values for the selected fields and select Replace terms to save your changes.
- Selecting Reset all terms will clear out any values you've entered in the Bulk Edit panel without updating the selected items.
Tip: In addition to built-in bulk editing tools, you can also update your project's records in bulk using an Excel spreadsheet. See Creating, editing, and deleting data using Excel for more information.
Adding line breaks in metadata
To create a line break in a Text or Text Area field in your metadata, including Title and Description fields, you can use a pipe (|) character with or without spaces.
