Editing items in a collection
You can edit metadata and associated media files for individual items in your collection. At this time, please note that it's not possible to edit multiple items in bulk in the Collection Loader.
To edit an item in a collection:
- Log into the Collection Loader and choose the Collections link.
- On the Collections page, choose your collection and then the item you wish to edit.
- On the item page, you can:
- Edit the item's metadata.
- Click the Add button after the item preview to add additional media files to the item.
- Associating more than one media file with an item will create a compound object in your collection.
- Click the Delete button after the item preview to delete associated media files.
- Note that this is different than the Delete button that appears before the item preview, which deletes the entire item.
- Swap out a media file by adding a new file and deleting the original.
- Click Save to save your changes.
- Click Publish to re-publish the item to your collection.
Deleting items from a collection
To delete an item from a collection:
- Log into the Collection Loader and choose the Collections link.
- On the Collections page, choose your collection and then the item you wish to delete.
- On the item page, click the Delete button that appears before the item preview.
- Note that this is different than the Delete button that appears after the item preview, which deletes only the associated media file in the preview.
- Click Delete to confirm your choice to delete the item.

Adding items to a collection
You can add additional items to your collection by uploading metadata and associated media files for additional items, similar to the process of creating a collection.
To add items to a collection:
- Log into the Collection Loader and choose the Collections link.
- Click the Add to Collection button after the collection name.
- Upload your metadata spreadsheet containing metadata only for the items you're adding.
- You may wish to use your original metadata spreadsheet as a template.
- If your spreadsheet contains filenames matching existing items in the collection (i.e. not only those being added), you'll be prompted to remove the duplicate records.
- If your spreadsheet contains metadata fields (columns) not present in the existing collection, they won't be added to the collection. Currently, you can only add, edit, or remove fields from a collection during the initial setup.
- Upload the media file(s) corresponding to the filename(s) in your spreadsheet.
- Filenames must match their corresponding record in your spreadsheet's "Filename" column exactly, including file extensions.
- Filenames are case-sensitive.
- Visit the Collections page to publish the item or your collection. See Publish Items and Collections in Collection Loader for more information.
Collections with lists, sub-collections, or containers
If your existing collection was harvested by our team or created using JSTOR Forum, there may be certain limitations on how or if you can add to it depending on its content and structure.
Lists
At this time, the Collection Loader doesn't support the use of linked authority fields using controlled lists, such as Getty's Union List of Artist Names® (ULAN) or Thesaurus of Geographic Names® (TGN).
If your collection was cataloged using lists, you may add items to the collection in the Collection Loader; however:
- Values in any fields using lists will be converted to text fields.
- If items were cataloged using Getty list terms, searching for variants of those term(s) will no longer return the item in the search results on JSTOR, only the text value of the field.
- The order or location of the field on the item page on JSTOR may change, due to the field being converted to a custom field.
Containers and Compilations
At this time, the Collection Loader doesn't support hierarchical structures such as sub-collections using JSTOR Containers and/or Compilations.
If your existing collection contains Containers and/or Compilations, you won't be able to add items to it using the Collection Loader.
